What this does not do

A CRM will not fix an offer nobody wants, and it will not create demand. It makes existing demand visible and stops the leaks, which is a different job. It also is not a one-week miracle for a firm with ten years of messy contact data: we migrate and dedupe what is there, but the cleanup is real work and we scope it honestly. Finally, a pipeline only stays accurate if your team works it. We build for the fewest clicks we can, but adoption is a management decision, not a software feature.

Do I have to leave the CRM I already use?

Not always. If your current system genuinely fits the firm, we can often automate on top of it. The honest answer is that most firms we meet are not using a CRM, they are using a calendar, an inbox, and a spreadsheet, and consolidating is the whole win. We tell you which situation you are in before you spend anything.

What happens to my existing contacts and history?

They migrate. We import, dedupe, and map your existing contacts into the new pipeline, including source and status where that data exists. Messy data takes longer to migrate than clean data, and we scope that honestly rather than discovering it mid-build.

How long until it is live?

As soon as 2 to 3 weeks from kickoff for the operational core: pipeline, intake routing, missed-call text-back, and booking. It depends on scope, though. A clean single-location firm moves fast; a multi-partner practice with years of messy contact data to migrate takes longer, and we say which one you are before you sign. The 90-day window after that is tuning against real traffic, not building.

Will my team actually use it?

That is the right question, and it is why we build your real stages instead of a template. The design rule is that the CRM should ask for less than the process it replaces. We also run a working session with the people who will touch it daily, because a system nobody was consulted about is a system nobody keeps current.

What does the automation platform cost on top of your fee?

Do you own my data or do I?

You do, without qualification. Accounts are provisioned in your name, the numbers are yours, and every contact, message, and automation exports on request. The asset-ownership guarantee is in the engagement agreement, not just on this page.

Can it integrate with my practice management or EHR system?

Often yes, through native integrations or a middleware connection. What we do not do is push protected health information or privileged matter detail into the CRM to make an integration work. If an integration would require that, we scope the boundary differently and say so.

What is the difference between this and the AI intake agent?

The CRM is the pipeline and the memory. The AI employee is the thing that answers. You can have a CRM without AI intake, and it is still a large improvement. You should not have AI intake without a CRM, because there would be nowhere for the conversation to land.

How do I know if the pipeline is my actual problem?
