Reduce no-shows

Live booking · Reminders · No-show recovery

Calendars that close the loop

Booking is where intake either converts or quietly fails. A prospect who has to wait for a callback to find a time will often not take the second step, and a consult that gets booked but not confirmed becomes an empty slot on a partner's afternoon. This build turns the calendar from a coordination problem into an automatic one.

Booking Calendars & Appointment Automation

How it works

From qualified prospect to a kept appointment

The mechanism is ordinary. The value is that every step happens without anyone remembering to do it, including the steps most firms skip entirely, like reminding twice and chasing a no-show.

1

Your real availability becomes bookable

We sync to the calendar you already live in, Google, Outlook, or iCloud, and layer rules on top: buffer time, minimum notice, maximum per day, blackout windows, and which appointment types each person takes. Nobody gets booked over lunch or into a slot they cannot honor.

2

Prospects pick a time in the moment of intent

Real times are offered inside the conversation that is already happening, whether that is the AI intake agent on the phone, the SMS thread, or a self-serve page. The gap between wanting to book and being booked is where most consults are lost, and this closes it.

3

Confirmation goes out immediately

An email and a text land within seconds with the time, the location or the video link, what to bring, and a one-tap reschedule option. Giving people an easy reschedule sounds like it would cost you bookings. It does the opposite, because the alternative is not a reschedule, it is a no-show.

4

Reminders run on a staged cadence

Typically a reminder a few days out, one the day before, and one a couple of hours before. The cadence is tuned to your appointment type, because a $500 consult and a routine follow-up do not need the same number of nudges.

5

No-shows are chased automatically

When someone does not arrive, a recovery sequence starts that day rather than waiting for a staff member to notice. Most firms never do this, and it is often the single largest recoverable block of revenue in the calendar.

6

Round-robin spreads load across the team

For multi-partner firms and group practices, bookings distribute by availability, appointment type, language, or practice area. A Spanish-language intake routes to someone who can take it, rather than to whoever is alphabetically first.

By vertical

The same system, scoped to your rules

The mechanism is the same in every firm. What changes is the script, the disclosures, and what the system is allowed to say or store. That scoping happens before the build, not at review time.

Law firms

A consult calendar that respects the conflicts check

Booking is gated so a consult is only confirmed after the conflicts check clears, which protects the firm from a meeting it should never have taken. Confirmations carry the firm's standard language about what the consult is and is not, so expectations are set before anyone sits down.

Confirmation copy avoids any statement that could imply a formed attorney-client relationship. Reviewed against Fla. Bar Rules 4-7.

Concierge and boutique medical

Fewer empty slots without a bigger front desk

Reminders and recovery are where a small practice gets its capacity back. Booking carries appointment type and location but never clinical detail, and anything that needs triage routes to staff instead of being self-served into the wrong slot.

Booking data is limited to scheduling fields. No protected health information in confirmations or reminders.

Wealth and family offices

A scheduled conversation, offered discreetly

Introductions here are arranged, not self-served, so booking is usually offered by invitation with a private link rather than a public page. Confirmations are plain and carry no marketing, because a prospectus-reading principal will judge the tone of your calendar invite.

No performance or advisory language in confirmations or reminders. SEC Marketing Rule 206(4)-1 applies to automated copy.

Luxury real estate

Showings booked while the interest is live

A buyer inquiring at 3 am on a listing can hold a showing time immediately instead of waiting for an agent to wake up. Bookings carry the property, route to the listing agent, and adjust for the buyer's time zone, which matters constantly with international inquiries.

Availability and confirmation copy stay inside fair housing lines. No screening language in the booking flow.

Aday Interactive, Inc. also builds this for accounting and CPA firms, consulting and advisory practices, architecture and design studios, marketing agencies, hospitality groups, multi-location and franchise operators, e-commerce brands, and B2B SaaS teams. See all industries.

What this does not do

Booking automation improves show rates, it does not manufacture demand, and it cannot make an unqualified prospect worth your time. That is why we put qualification in front of it rather than letting anyone grab a partner's afternoon. It also will not fix a calendar that is genuinely full: if your constraint is capacity rather than conversion, the honest advice is that this is the wrong build to buy first. And we do not publish a no-show reduction figure, because the real number depends on your appointment type, your reminder cadence, and your client base.

FAQ

Booking Calendars & Appointment Automation, FAQ

Will it book over something already on my calendar?

No. It reads your live calendar, including personal events marked busy, and only offers genuinely free time inside the rules you set. Buffer time, minimum notice, and daily caps all apply, so the calendar stays workable rather than merely full.

Does offering a reschedule link cost me bookings?

It reads that way, and the opposite is true. Someone who cannot make a time will not attend whether or not you gave them a link. What the link changes is whether you find out in advance and get the slot back, or find out by sitting in an empty room.

How many reminders is too many?

Three is the usual ceiling for a professional-services consult: a few days out, the day before, and a couple of hours before. More than that reads as nagging. We tune it by appointment type and then watch show rate by cadence rather than guessing.

What does no-show recovery actually send?

A short message the same day that assumes good faith, notes the missed time, and offers to rebook in one tap. It does not scold. Most no-shows are scheduling failures rather than disinterest, and the tone of that first message decides whether you get a second chance.

Can different partners have different rules?

Yes. Each person can have their own availability, appointment types, buffers, and caps, and round-robin can weight distribution between them. Group practices and multi-partner firms are the normal case here, not the exception.

Does this work for remote consults?

Yes. Video links generate automatically on booking and appear in the confirmation and every reminder, which removes the most common cause of a late start, which is a client hunting for the link two minutes before.

Can I attach an intake form to the booking?

Yes, and for most firms a short one raises consult quality noticeably. The rule we apply is to ask only what changes how you prepare. Long forms in the booking flow cost you bookings, and in medical the form is scoped so it never collects clinical detail.

What if a prospect wants a time I do not have?

The flow captures the request and routes it as a task rather than dead-ending. A prospect who wanted Thursday at 4 pm is worth a human reply, and this is one of the places where automation should hand off rather than try to resolve.

Do I have to use your calendar software?

No. It syncs to the calendar you already use. The booking layer sits on top, so your team keeps working in Google or Outlook exactly as they do now.

Where does this sit relative to the rest of the system?

It is the destination. AI intake qualifies and books into it, the CRM records it, and the dashboard reports show rate by source. Booking on its own helps. Booking wired to the other three is where the compounding happens.
