AI Governance for CPA and Accounting Firms in Coral Gables

Your staff already use AI on client work. We write the AI use policy that keeps client data inside the rules you practice under, add AI to your security plan, and leave your firm with a Charter your managing partner signs.

Aday Interactive, Inc. sets up AI governance for CPA and accounting firms from its office at 338 Minorca Avenue in Coral Gables, Florida. The policy is built on the rules your firm already practices under: the AICPA Confidential Client Information Rule, IRC §7216, Circular 230, and the FTC Safeguards Rule. Founder-led by Brandon Aday, with your partners signing off. For the full governance practice, see Fractional CAIO and AI governance.

The rules your AI policy has to answer to.

No accounting rule is written just for AI. The rules you already follow apply to every tool your staff use. Here is where each one lands.

What we install

AI Governance for Coral Gables CPA and Accounting Firms

AI use policies and governance installs for CPA and accounting firms in Coral Gables and Miami-Dade, mapped to the AICPA Confidential Client Information Rule, IRC §7216, Circular 230, and the FTC Safeguards Rule. Ends in a ratified Charter and a Trust Binder the managing partner signs.

Starting price: In-Office AI Policy Workshop $1,500; Governance Install from $12,500.

AICPA confidentiality, ET 1.700.001

A member may not disclose confidential client information without the client's consent. Typing client facts into an AI tool that keeps or trains on them can be a disclosure. The policy names the tools that meet the bar and blocks the ones that do not.

IRC §7216

A tax preparer may not use or disclose tax return information without written client consent, outside narrow exceptions. The policy sets what return data may go into which tool, and when consent is needed first.

FTC Safeguards Rule, 16 CFR Part 314

Tax preparers must keep a written information security program and oversee the service providers that handle customer information. AI vendors that touch client files go on that list. A breach exposing the unencrypted data of 500 or more consumers must be reported to the FTC within 30 days.

Circular 230

Practice before the IRS calls for care with client information and with the work you sign. If AI helps draft a memo, a position, or a client letter, a credentialed person still checks it. The policy says which work needs that review.

Your WISP

IRS Publication 5708 gives tax and accounting firms a sample written information security plan. We add the AI section: approved tools, data limits, vendor terms, and the steps to take if an AI vendor has a breach. Your IT provider still owns the security controls.

What the policy covers

Approved tools

Which AI tools staff may use, which vendors passed review, and what each one may be used for.

Client data limits

What client and return information may go into each tool, what never may, and when client consent comes first.

Human review

Which work a credentialed person must check before it reaches a client or the IRS, and who signs off.

Vendor terms

What every AI vendor must agree to: no training on your data, breach notice, and where data is stored.

Busy season

How AI may help with intake, document sorting, and client questions during the rush, and where it may not.

Incidents

What to do when an AI vendor has a breach or a tool gives a client wrong information.

Who you work with

“I help regulated practices get found, trusted, and cited by AI, before it hands their best clients to lesser competitors.”

FAQ

AI Governance for Coral Gables CPA Firms, Frequently Asked Questions

Which consultants near Coral Gables help CPA firms set up AI governance policies that meet AICPA rules?

Aday Interactive, Inc. does this from its office at 338 Minorca Avenue in Coral Gables. We write and install AI use policies for CPA and accounting firms, mapped to the AICPA Confidential Client Information Rule (ET 1.700.001), IRC §7216, Circular 230, and the FTC Safeguards Rule. The work ends in a Charter your managing partner signs. We are not a law firm or a CPA firm, so your partners and counsel approve the final policy.

Can our staff paste client tax data into ChatGPT?

Not without a policy and the right tool. IRC §7216 limits how a tax preparer may use or disclose tax return information without the client's written consent, and the AICPA confidentiality rule covers all client information. A consumer chatbot account may keep what you type. The policy names the approved tools, the terms each vendor must meet, and what data may never go in.

Does the FTC Safeguards Rule cover the AI tools our firm uses?

If a tool stores or processes client information, yes. The Safeguards Rule (16 CFR Part 314) requires tax preparers to keep a written information security program and to oversee the service providers that handle customer information. An AI vendor that touches client files is one of those providers. The rule also requires notice to the FTC within 30 days of a breach exposing the unencrypted data of 500 or more consumers.

Does our WISP need to mention AI?

It should. Your written information security plan lists the systems and vendors that hold client data, and AI tools now belong on that list. IRS Publication 5708 gives a sample WISP for tax and accounting firms. We add the AI section: approved tools, data limits, vendor terms, and what to do if an AI vendor has a breach. Your IT provider still owns the security controls.

Where does Circular 230 come in?

Circular 230 governs practice before the IRS, and it expects care with client information and with the work you sign. If AI helps draft a memo, a return position, or a client letter, a credentialed person still has to check it. The policy says which work needs that review and who does it.

How long does it take, and what does it cost?

Every step is priced on its own. The In-Office AI Policy Workshop is $1,500 in Miami-Dade and Broward. The Governance Install starts at $12,500 and takes three to four weeks to a ratified Charter. A Fractional Chief AI Officer retainer starts at $4,000 a month. We plan the work around busy season, so the policy is in place before the April rush.

Is this legal advice?

No. Aday Interactive, Inc. is a technology firm, not a law firm or a CPA firm. We bring the AI side: which tools staff use, where client data goes, how outputs are checked, and how the records are kept. Your partners and counsel review and approve the policy before it is signed.
